Device and System Access

Access to WalkWise device data and settings can be obtained in two different ways: via access to a WalkWise group or via access to an individual device. “Access to a device” means the ability to view data and configure settings for the device, corresponding to the users’ permission level for that group or device.

Group access vs device access #

WalkWise devices have two forms of access: group access and device access. If a device is in a group, all members (WalkWise accounts) in that group will have access to the device according to the set permission level of the group access. WalkWise devices can only be in one group.

Members of a WalkWise group can also view and edit any Persons in the group.

WalkWise accounts can also be given access to one or more individual devices rather than a group of devices.

Permission levels #

WalkWise accounts can have different levels of permissions between groups and individual devices. Each permission level allows for different functionality in the system for security purposes. WalkWise accounts can be members of multiple groups with varying permission levels, as well as have access to multiple devices with various permission levels.

Admin #

Admins have the highest level of control over devices and groups. Admins can view all device data, configure all device settings, and configure and receive any notification related to the device. They can also add, remove, or edit individual device permissions.

WalkWise accounts with admin permissions for a group grants them admin access to every device in the group. In addition, group admins can add or remove members from the group, change the permission levels of any other member of the group, remove persons or devices from the group, or move persons or devices to another group (if they are an admin of both groups).

Standard #

Accounts with standard permissions for a device can view all data, configure the device settings, and configure and receive most notifications related to the device. WalkWise accounts with standard permissions for a group grants them standard access to every device in the group.

Viewer #

Accounts with view permissions for a device can view all data, but cannot configure device settings or receive notifications.

Limited Viewer #

Accounts with limited viewer permissions for a device can only see the current status of the device, such as the last movement or last checkin. They cannot view past data for the device.

Group Access #

Adding a group member #

Group Admins can add other WalkWise accounts to a group or send an email invitation to create a new WalkWise account that will be automatically added to the group. To add an account to a group, go to the Members page under the WalkWise group in the left menu. Click Add User to Group, enter the email address, and click Send an invitation to create a WalkWise account. Choose the role that this new account should have for this group. Click Confirm to complete.

Many WalkWise groups have domain-name restrictions, meaning that only accounts with certain email domain names can be added to the group. If an error is received while sending an invitation, please contact WalkWise to ensure proper configuration of domain restrictions.

Change a member’s group permission level #

To change a group member’s permission level, go to the Members page for the group. This will populate a list of the members. Click on the individual’s permissions. In the drop-down menu, choose the new permission level and click Confirm. This will change the member’s permissions across all group members.

Remove a group member #

To remove a group member, use the same process as changing group permissions. Go to the Members page for the group. Click on the permission level next to the account to be removed. In the drop-down menu, choose Remove, then click Confirm. This will remove the member from the group and will remove access to all devices in the group.

Re-sending invitations #

To resend an invitation to join a group or create an account, go to the Members page under the group name in the column on the left. The individual’s contact information should be highlighted if they have not configured their account or verified their email address. Click on Resend Invite Email. A pop-up message should appear: “Successfully resent invitation email.”

Individual Device Access #

Adding individual device access #

Accounts with device Admin or group Admin permissions can invite others to gain access to an individual device. Note that these invitations are not domain-name restricted like most groups. To add or invite, click on the device in the menu. Click Edit Access in the Device Settings section. Click Add Device Access and enter the email address. To invite the user to create a new account if none exists for this email, select Send an invitation to create a WalkWise account. Choose the role that this new user should have for this device. When a person has more than one mobility aid, access will need to be individually granted for each device.

Individual device permissions are useful when a WalkWise account should have access to one or more devices, but not an entire group of devices.

Change individual device permission level #

Click Edit Access in the Device Settings section to see a list of accounts with individual device access. Click on the permission level next to the account and select the new permission level in the drop-down. Click Confirm.

Remove individual device access #

Click Edit Access in the Device Settings section to see a list of accounts with individual device access. Click on the permission level next to the account to be removed and select Remove from the drop-down. Click Confirm.

To remove all individual device access, such as if a device is reassigned to a new person, click Remove all device access. If the device is in a group, it will remain in the group and all group members will maintain access to the device.
